Privacy policy

This policy covers the CoachOS marketing website. Institutes using the CoachOS product receive a separate agreement describing how student, parent and staff records are handled.

Enquiries and demo bookings

When you contact us, we collect your name, email address and institute name, plus any phone number, city, student count or message you provide. We use these details to respond, arrange a demo and follow up about CoachOS. We do not sell your details or add you to an unrelated mailing list.

Enquiries may include the page where your visit began and campaign labels from the link you followed, to help us understand which outreach brings interested institutes. These labels stay in memory during your visit and are sent with your enquiry. Please do not include student records or other sensitive information in the form.

When scheduling is available, Calendly processes the information you enter to arrange the meeting. Calendly provides its own cookie controls and privacy information.

Optional analytics and cookies

If analytics is enabled, we ask before loading it. With your permission, Google Analytics measures page visits, demo button clicks, confirmed bookings and successful enquiries. It may use cookies and process device and browser information. We do not send your form answers, name, email or Calendly booking details as analytics event parameters. Our page-view events omit URL query strings and use only campaign labels.

Advertising personalization and Google signals are disabled in our integration. If Plausible is configured, it also loads only after permission. You can decline analytics and still use the site, or change your choice using Analytics preferences in the footer. We store your preference in your browser. Browser settings can also remove stored cookies.

Service providers

Our hosting provider processes requests and technical logs to serve and secure this website. When hosted on Netlify, Netlify Forms stores submitted enquiries and can notify the CoachOS team. If email delivery is enabled instead, our email provider delivers the enquiry. Google Analytics or Plausible processes analytics only when enabled and accepted; Calendly handles bookings when used. These providers may process information outside your country under their own terms and safeguards.

Retention

We keep enquiry and booking records while we are in conversation and for up to 24 months afterwards, unless a longer period is required by law. We review these records for deletion. Analytics retention is controlled in the analytics service; website security logs follow the hosting provider’s retention settings.

Your choices and contact

Use our contact form to request access to your information, a correction, deletion, or an end to follow-up messages. We may need to confirm your identity before acting on a request.
